Export documentation:

The export documentation is the preparation of documents for different procedures carried out in the export industry.

They are classified into:

  1. Commercial documents

  • Principal documents

  • Auxiliary documents

  1. Regulatory documents

 

Commercial documents:

The documents related to commercial transactions like shipping document, commercial invoice, and transfer of goods etc… are called commercial documents.

Principal documents:

After the shipment execution, these are the documents sent from the exporter to the buyer.

  1. Commercial invoice

  2. BOL (Bill of Landing)

  3. Packing list

  4. Final inspection report

  5. Shipping document

  6. Insurance policy (in case of CIF, CIP)

  7. Certificate of origin

  8. Bill of Exchange and also shipment guides.

Auxiliary documents:

The remaining commercial documents are auxiliary documents.

  1. PI (Performa Invoice)

  2. Shipping instructions

  3. Declaration for inspection

  4. Insurance declaration

  5. Shipping order

  6. Application for certification of origin

  7. Negotiation documents

  8. Mate receipt

 

Regulatory documents:

Regulatory documents issued by different government/agency for export trade and these documents are associated with pre-shipment stage of the export.

  1. Gate pass I/II (issued by CEA – Central Excise Authorities)

  2. ARE form (issued by CEA – Central Excise Authorities)

  3. Bill of Export/shipping bill (issued by CEA – Central Excise Authorities)

  4. Export application/ dock challan (issued by port trust)

  5. Receipt of port payment

  6. Vehicle ticket (issued by port trust)

  7. Freight payment certificate (steamer agent)

  8. Exchange control declaration/GR/PP forms

  9. Insurance premium payment certificate (issued by insurance company)
